1.  Introduction

Drovers Lodge is a Bed & Breakfast accommodation provider based in the Scottish Highlands. We are located at Upper Lenie, Drumnadrochit, Inverness, Highlands, IV63 6XF, Scotland.

Protecting your personal data is a priority for us. We comply with all relevant data protection legislation and the following privacy notice is intended to provide transparency about how we handle your personal data.

When you contact us with a general enquiry either through our website, by email or telephone, or place a booking through our online booking system we only ask for information that is essential to deliver our services to you.

2.  What information do we collect from you and what do we use it for?

We collect this for the purposes of further communication with you.

We collect this so that we can contact you regarding your enquiry.

We do not send regular communications, e.g. newsletters, so your email address will not be used for marketing purposes.

  • Subject

We collect this so that we may understand the nature of your enquiry.

  • Message

We collect this so that we can make the appropriate response to your enquiry.

After your stay with us we may send you a single email requesting a that you provide an online review. You are under no obligation to provide this review and no further reminders or marketing emails will be sent by us.

Financial information

We do not collect payment from you directly through our website. If making a booking through our website you will be automatically redirected to our online booking system which is managed by a third party company, Eviivo. For information on our online booking system, see section 8 below.

Standard practice is to book our accommodation in advance and provide your financial information online during the time of booking. If a guest wishes to pay for accommodation while on-site using a different credit card to the one that was used to make the original booking, we will collect their financial information and enter it directly into our online booking system. We do not store any of your financial information on the premises either in paper form or electronically other than that managed through our online booking system.

Records of accommodation payments (incoming) and accommodation costs (outgoing) are recorded by Drovers Lodge for accounting purposes.

Guest Registration

Under the Immigration (Hotel Records) Order 1972 we are required by law to record the following information upon arrival at our property:

  • Full name
  • Nationality
  • Guest Check-in and Departure Dates
  • Passport Number and Place of Issue (if non UK, Irish or Commonwealth)
  • Next Destination (if non UK, Irish or Commonwealth)

This information is held for a period of 12 months and is not disclosed to any third parties other than if specifically requested by a police constable or by any person authorised by the Secretary of State.

3.  What legal basis do we have for processing your personal data?

Upon completion of the online Contact Form on our website we ask for your consent to allow us to use the data that you provide so that we may provide our services to you. If you do not check the box consenting to your personal data being used as described then the Contact form will not be sent and your personal data will not be collected, processed or stored.

4.  When do we share personal data?

The data that we collect from you is for the sole purpose of providing our services to you, i.e. bed & breakfast accommodation for the duration of your stay.

None of your personal information is sold or shared with any third parties for marketing purposes or otherwise.

5.  Where do we store and process personal data and how is it secured?

Your personal data is stored securely in paper form in our office and electronically by our online booking system and web hosting/email providers. Our software and web hosting/email providers have up to date Data Protection & Privacy Policies.

  • Data stored in paper form is secured in a locked office to prevent unauthorised access, use, destruction or disclosure.
  • Password protection is used for all data held electronically to prevent unauthorised access, use, destruction or disclosure.
  • Data is stored in both paper form and electronically to protect us against accidental loss.

6.  How long do we keep your personal data for?

  • Your personal data collected through online bookings is stored for a period of 5 years from the departure date following your most recent stay with us. This is necessary for accounting and tax purposes.
  • Your personal data collected through general enquiries is stored for a period of 12 months.
  • Personal data collected under The Immigration (Hotel Records) Order 1972 is stored for a period of 12 months.
  • After the periods defined above, the data will be deleted or disposed of securely.

7.  Your rights in relation to personal data

You have the right to access, amend or request erasure or restriction of processing of any information that we have collected from you, e.g. you may withdraw the consent that you gave us at any time.

Such a request will be met unless a request for data to be deleted involves data that is required to be recorded and/or stored by law, e.g. under The Immigration Order 1972 or for tax purposes.

8.  Electronic Data Processing

  • Online Booking System

Regarding booking and payment for your accommodation, we automatically redirect you to our online booking system which is managed by a third party company, Eviivo. Collection, processing and storage of your financial information is covered by Eviivo’s Privacy Policy which may be observed here (Drovers Lodge is not responsible for the content of this policy).

Accommodation at Drovers Lodge may also be booked through a number of Online Travel Agencies (OTAs) such as Booking.com. The Privacy Policies of these OTAs may be observed on their respective websites (Drovers Lodge is not responsible for the content of these policies).

  • Website Security

Our website uses Secure Sockets Layer (SSL) Encryption. This ensures that any transferred data cannot be read or modified by a third party.

The website is also protected by 1&1 SiteLock. This actively protects the content of the website from malware (malicious software), unauthorised access and other threats.

Our website does not use cookies.

  • 1&1 Site Analytics

We record visitors to our website using 1&1 Site Analytics. Our web host assesses which pages you view on our site, how you navigated to our site and some basic information about your computer such as the web browser you are using. This information is anonymous and we are unable to learn the identity of any visitor to our site. We use this information to improve our website and our accommodation offerings.
